General Policies & Procedures


Who May Register
Unless otherwise indicated, classes are open to everyone. Some financial assistance is available for youth classes. 

How to Register 
Participants must pre-register for all classes. No registration is complete until fees are paid. Three ways to register:
  • Online: Available for most classes. Visit https://berlincerp.myrec.com/ 
  • In person: Pay with cash or check at the District Office located in Berlin High School (park in front and enter Door A). Hours are 8 a.m. to 4 p.m. Monday through Thursday and 8:00 a.m. to 12 p.m. Fridays.
On-Site Registration
Instructors will NOT accept registrations at the class site. Fees must be paid prior to participation; proof of registration may be required at class. Instructors can deny participation until registration is complete.

Confirmation
To keep class costs down, confirmation is not sent to verify your registration, unless you register online. You will be notified if your registration is incomplete or if a class is to be canceled. If you are not notified, assume your registration is confirmed.

Waitlist
If your desired class is full, you will be notified and placed on a waiting list. The department will make every effort to accommodate those on the waiting list. If any openings become available, we will go to the waitlist to fill the class, notifying eligible individuals. 

Fees
All Berlin Area School District Community Education & Recreation classes are self-supporting. Receipts from course fees help offset class costs. Course fees are based on the length of the class, basic materials, and other instructional costs. It is our goal to offer quality classes and activities at the lowest possible cost. Some classes will require additional materials, which must be purchased by participants. 

Financial Assistance
Financial assistance will be given to those who are BASD residents who qualify for the Free or Reduced Lunch Program.

Proof of qualification must be provided prior to or at the time of registration. Reduced program fees will only be applied to our youth programs when applicable. Please provide your household's Free/Reduced letter with your paper registration or email our office a copy at vstimac@berlin.k12.wi.us Contact Food Service at (920) 361-2000 ext. 1505 to obtain a copy if necessary.

Returned Checks 
There is a $25.00 service charge on all returned checks. 

Cancellation/Refunds
Refunds of fees in recreation activities shall be made under the following guidelines:

1) The Berlin Area School District Community Education & Recreation cancels the program/change in published day/time or schedule of program. Persons registered for a program which is canceled by the department shall receive a full refund of activity fees or a credit towards a future program, whichever the registrant prefers. Online transaction fees are non-refundable. 

2) Participant cancellation: Cancellations must be submitted in writing within three business days - or otherwise as noted - of the start of the program to the Berlin Area School District Community Education & Recreation Program indicating the reason for the refund request. Internet convenience fees will not be included in the refund and any program supply costs will be deducted from the refund. There is NO pro-rating of class fees.

Weather Cancellations
If school is canceled or closed early, classes will not meet. We will update the website (www.berlin.k12.wi.us) and social media accordingly.

Changes
The Berlin Area School District Community Education & Recreation Program reserves the right to change program schedules as needed to accommodate school uses. If this happens, every effort will be made to notify registered participants. Changes also will be posted at the class site.

Credit Policy
If you desire or are unable to continue participation in a program, the use of “credit” towards future participation is highly encouraged. The following guidelines will apply: 
  • Credit transactions are not subject to service charges unless a future refund request is received for a previously “credited” program.
  • Credit use is at the discretion of the payee.
  • Credit can not be given for class/session absences. 
  • Credits are not transferable to other family accounts. 
  • Credits on account will automatically expire if not used within 24 months (2 yrs) from the date of issue.
Photography 
The Berlin Area School District Continuing Education & Recreation Program uses pictures & videos in brochures, displays & social media to inform others of our recreational opportunities. We will not identify individuals by name. By registering for any program, you have granted us permission to use your image for promotional purposes. If you do not want a picture taken, please tell our photographer. If a picture has already been taken, please contact the office at (920) 361-2004 ext. 3053 and let us know it shouldn’t be used. 

Americans with Disabilities Act 
In regards to the Americans with Disabilities Act, the Berlin Area School District Continuing Education & Recreation Program welcomes all people with disabilities to our programs. Advanced notice helps us to better serve you. For more information, call (920) 361-2004 ext. 3053. Disabled persons who need special assistance may register for the Berlin Area School District Community Education & Recreation classes and attend with an adult, who will not be a regular member of the class but will be there to assist the student. This assistant is not required to pay for the class but may be required to pay for any consumable supplies he or she uses that were provided by the teacher.

Non-discrimination Policy 
The Berlin Area School District Continuing Education & Recreation Program does not discriminate on the basis of race, color, religion, national origin, ancestry, creed, pregnancy, marital status, parental status, sexual orientation, sex, (including gender status, change of sex or gender identity), or physical, mental, emotional, or learning disability ("Protected Classes") in any of its student program and activities. 

Residency
A resident is anyone who lives within the boundaries of the Berlin Area School District. Any person residing outside these limits will be considered a non-resident and assessed a fee accordingly. Proof of residency will be required for persons 21 and older living in the household. 

Non-Resident Pricing 
Non-resident fees may be charged a different rate that residents. Non-residents who register using false information will forfeit their right to participate in the activity, and no refund will be issued. 

Tobacco/Alcohol Use Policy 
The use of all tobacco products or consumption of alcoholic beverages on premises owned by the Berlin Area School District is prohibited by state law. 

Age Requirements
Age requirements will be as of the date of the first class. The participant may be transferred to the correct level provided there are openings or the class fee may be refunded. 

Insurance 
The Berlin Area School District Continuing Education & Recreation Program does not provide hospital/medical insurance coverage for people participating in sponsored activities. 

Parent Viewing Policy
Unless otherwise noted in the program description, classes are set up as a drop off/pickup format. Some programs and locations are not conducive for parent viewing and/or staying on site. Parent-child style classes will always be noted as such. If you have questions or concerns regarding our policies, please contact the Berlin Area School District Continuing Education & Recreation Program ahead of the class start date. 

Code of Conduct/Expectations
The Berlin Area School District Continuing Education & Recreation Program is committed to providing you and your family with a safe, educational, and fun atmosphere while you attend our classes. In order to provide a high quality program for all to enjoy, we please ask that you review behavior expectations with your child prior to class. These expectations are similar to those that students must follow during a typical school day which include, but are not limited to: Being respectful of the instructor, fellow participants, and equipment/supplies being used for class, using proper language before, during, and after class, not participating in unsafe activities that may harm the participant or others around them, wearing appropriate clothing, and cooperating with Berlin Area School District Continuing Education & Recreation Program instructors. If at any time these expectations are not being met, the participant may be removed from part or a whole activity, depending on the situation, and the parent or guardian will be notified of the incident at the end of the day. Future violations may result in the dismissal of the participant from the class.
